Meeting called to order at 7:12pm

EXECUTIVE REPORTS:

Treasurer (Liz)

• See attached Financial Report

Vice-President (Crystal)

• $750 Tim Horton sponsorship money received

Ice Manager (Shelley)

• re-scheduling games for 4 house teams
• playoff schedule to start Jan 30  divided into North/South Zones – Midget Rep10 teams; Bantam Rep 9 teams; Pee Wee Rep 10 teams
• need to re-schedule Atom Dev vs. Sicamous game

Fundraising Coordinator (Jody)

·          gaming license  - checking out procedure for 5 year end reports

Head Convenor (Bela/Sharry)

·         Jan 3^rd Bottle Drive – please submit names of players that did not participate so deposit cheques can be cashed.

·         Sanction had been extended to Jan 17^th so any team can still be involved i.e.: Initiation  B team

·         Redesign bottle drive fundraiser for next year – will check into year round donations at the bottle depot

Head Coach (Wade)

• No report

Initiation Coordinator (Greg)

• There has been no interest from any coaches so there will not be any Speak Out courses organized
• Atom Development tournament had profit of $1478.00

Member at Large (Brenda)

• Tim Horton’s will be donating medals as well as coaches bags and sticks

Registrar (Denise)

• Registered a new player from Fort MacMurray to the Bantam House team and AP’d to Bantam Rep
• Jan 10^th deadline to card players to rep teams
• Jan 15^th deadline to AP players
• Squirts had 2 players leave –  4 year olds

Assistant Referee in Chief (Sean)

• 1 small discipline matter – official arrived at game with no equipment was sent home
• Bantam Rep team this year has much improved attitude toward officials

Referee In Chief (Brad)

• Having trouble finding senior officials
• Trying to locate the TV and DVD player to show DVD on officiating the new game
• Discipline with younger officials
• Referee locker door broken into twice; key now in SMHA office
• Encouraged by junior officials but on-ice sessions didn’t work due to conflicts
• 4 first year officials for next season
• will be a priority to advertise for senior officials next year.

Equipment Manager (Bill)

• contact Bill to buy old jerseys. 
• Have 2 complete good sets for backup

OLD BUSINESS:

• Criminal Record Checks: Rory picked up forms from RCMP; Rory will follow up on info listed on these checks
• Midget Rep Tournament game cancellation  - Westside request for refund

MOTION: To give Westside Minor Hockey Association a $200.00 credit towards 2009 Sam Hanon Memorial Midget Rep Tournament registration for October 2009 (Shelley/Crystal) – Passed

• Girls change room – Kim absent – tabled to next meeting
• Policy updates – Denise handed out format with discussion to be tabled to next meeting

NEW BUSINESS:

• Mike Danyluk $500 Bursary 2008/09– will forward criteria to each team and ask them to submit the name of deserving player that has not received it in the past. 
• OMAHA Game Sheet Submission – Brenda will correspond with Jim Sylvester regarding this matter
• OMAHA Meeting Jan 17/18 in Vernon – no volunteers to attend
• Bottle Drive proposal – Bela/Sharry – suggest canceling regular format of bottle drive and set up drop-off at depot.  A proposal for changes will be put together for next meeting.
• Extra photos will be requested from the photographer for sponsors and coaches
• The office computer is not functioning.  Rory will take it to the Source for repairs and purchase a surge protector under $100.00
• Horseplay at the Midget House practice resulted in one player receiving a broken shoulder
• Need to arrange class on operation of score clock and proper preparation of score sheets.
• Rory will contact Mike Fetterer to repair the score clock
• SMHA Website has been converted to Expression format which should now be more compatible. 
• Tournament registration now requests Fair Play Contracts be signed.  Can be done with group signature format of coaches, parents and players
• Out of country teams are asked to pay extra fees for insurance, wear neck guards as per our regulations and sign fair play codes.
